Only designated Session coordinators and Presenting Authors are required to RSVP.

What are my next steps?

    1. PRESENTING AUTHORS ONLY: RSVP and confirm your participation/attendance by the designated RSVP deadline.

      NO RESPONSE: Invitations without confirmation of participation will be excluded from the program.

      ACCEPT: Please accept your invitation in ScholarOne and proceed to the following steps listed below.

      ACCEPT AND REQUEST POSTER RESCHEDULING REQUEST: POSTER PRESENTERS ONLY: Please accept your invitation in ScholarOne and proceed to the following steps listed below.
      • First, accept the invitation to present in ScholarOne.
      • Then, submit a poster rescheduling request by the RSVP Deadline on the Presenter Page. Please note: poster presentations were scheduled during time slots in which submitting authors did not identify a time conflict. Requests can only be accommodated if space allows. Typically poster rescheduling requests can be accommodated when space opens up in a poster session through presenters withdrawing or moving to another poster session. Please expect a poster session reassignment notification in two weeks. Request at https://www.surveymonkey.com/r/SGIM19

      TIME CONFLICT: Presentation rescheduling requests can only be submitted for poster presenters. Please first accept the invitation and then see below for poster rescheduling requests. Rescheduling requests cannot be accommodated for oral presenters due to programming.

      DECLINE AND DESIGNATE NEW PRESENTER: You may designate a new presenter by first declining your invitation, then returning your submission to draft status and designating a new presenter in your authors list. Remember to resubmit. The new presenting author will receive a new invitation in approximately two weeks.

      DECLINE: If you cannot present in this appointed schedule, or know you cannot attend the meeting, please immediately decline your invitation to present in ScholarOne.

    1. Register now and save up to $60 on registration fees.
      ALL persons attending the Annual Meeting, including presenters, are required to register and pay registration fees.

How do I accept my invitation?

RSVP is only required for designated:
  • Session Coordinators (not faculty) of Round One presentations by November 21, 2018
  • Presenting Authors (not co-authors) of Round Two presentations by March 12, 2019

To accept your invitation:
  1. Log into ScholarOne at https://sgim19.abstractcentral.com/login
  2. Click on Messages on the top right-hand menu.
  3. Click on Invitations.
  4. Under Action, select View & Respond.
  5. Select Accept Invitation.

How do I decline my invitation or withdraw my presentation?

To decline your invitation:
  1. Log into ScholarOne at https://sgim19.abstractcentral.com/login
  2. Click on Messages on the top right-hand menu.
  3. Click on Invitations.
  4. Under Action, select View & Respond.
  5. Select Decline Invitation.

Do I need to register?

Do I need to pay a registration fee to present?
YES. ALL persons attending the Annual Meeting, including presenting authors and co-authors, are required to register and pay registration fees.

Is there a one day registration option?
There is no one-day presenter registration option.

How can I view a receipt or a proof of my submission?

  • After logging into ScholarOne, Click on Submission* menu on the top left-hand corner of the screen.
  • Click on the drop down menu to the left of the submission and select View Receipt or View Abstract
  • A new window will open up and you can save or print a receipt for the submission. Please enable pop-up windows.

How can I view a copy of my acceptance notification?

  • After logging in, Click on the Messages drop down menu next to your name at the top right-hand corner of the screen.
  • Select View Email next to the email message you choose to view.
  • A new window will open up and display the email message. Please enable pop-up windows.

Can a co-author present in my place?

I am the presenting author but cannot attend the Annual Meeting. Can a co-author present in my place? How do I designate a co-author as the new presenting author?
  1. Yes. Co-authors identified in your original submission may present in your place at the Annual Meeting.
  2. To designate a new presenting author, first decline your invitation, then log into ScholarOne and return your submission to draft status. Edit your author list by designating a presenting author from the current list of co-authors. You will need to notify SGIM of the change in the presenting author by March 19, 2019.
  3. Please note: changing presenting authors in award oral presentation sessions negates your eligibility for the award.

How do I add a faculty member or new co-author?

Round One Presenters:

Should you need to add or replace a member of the faculty, follow these two steps:

1. Make sure the new faculty member has an SGIM Annual Meeting-related ScholarOne account and have completed the required disclosure statement.
2. Contact submissions@sgim.org with:

  • Control ID number
  • Submission title
  • and the new author's name, email address, institution and educational credentials.

Round Two Presenters:

  • Log into ScholarOne and return your submission back to draft to add another co-author by March 19, 2019.
  • Be sure to resubmit your submission, otherwise it will remain in draft and changes will not be saved.

How can I best design my poster?

If I have more than one poster accepted during the same poster session, will my posters be scheduled adjacent?


For poster presenters with more than one poster sessioned for presentation during one poster session, the Program Committee will schedule your posters adjacent to each other. Poster presenters will receive their poster number within the Annual Meeting App once it launches.

Can I share my presentation slides or handouts before or after the Annual Meeting?

Yes. Once the Annual Meeting app is available, session coordinators will be able to upload handouts. The app will launch in early May.

Upload Handouts to the SGIM19 Mobile App

  1. From your PC or Mac, login with your registration email.
  2. Search for your session in the Agenda tab. Click on Handouts & Media.
  3. Upload as a PDF or attach a hyperlink for optimal mobile browsing. File limit is 20MB. For files larger than 20MB we recommend linking to a file or folder from a cloud storage service (such as Dropbox or Google Drive).

    The SGIM19 mobile app is accessible from your desktop, tablet, or phone, and syncs automatically across all platforms.

When do I need to submit my presentation slides?

Speaker Ready Room

Bring your presentation file(s) on a flash/thumb drive to the Speaker Ready Room the day before your presentation. The Speaker Ready Room is located in Embassy, Terrace Level, Washington Hilton Hotel.

What time should I arrive?

What time should I arrive to my presentation?

Plenary Presenters: Please arrive at your designated room at least 30 minutes prior to the start of your session (not your presentation time).
Oral Presenters: Please arrive at your designated room at least 15 minutes prior to the start of your session (not your presentation time).

Standard AV Equipment and Room Setup

A computer, projector/screen, laser pointer, and one flip chart with a marker (for workshop and Interest Group rooms) will be available for your use during the session. Wifi access is available for both presenters and attendees during the meeting. Visit the Speaker Ready Room located at Embassy, Terrace Level, to upload your presentations at least 3 hours ahead of your presentation. An AV technician will be present to load your presentation files onto the laptop provided.

Audience Sizes

  • Plenary sessions: up to 1800 attendees
  • Clinical Updates: up to 600 attendees
  • Special Symposium: up to 300 attendees
  • Workshops: up to 50-120 attendees
  • Oral presentation sessions: up to 50-110 attendees
  • Interest Groups: up to 30-120 attendees
  • Poster sessions: up to 400 attendees

Note : Final session location assignment is subject to change, based on session pre-registration. Final session locations are available in the Annual Meeting App.
